RECEPTIONIST
The receptionist’s first duty is to answer all incoming calls at the switchboard. All other duties are secondary to this. This job is vital to the successful flow of the office.
Answer ALL incoming calls
Direct to the appropriate person
If the person is not available pass call onto customer service
Try to avoid any lengthy conversations
As time allows, alert people of their messages via phone
It will be your responsibility to deliver written messages
If the call is urgent and the person needed is not available, direct the call to someone else (as per guidelines below)
Guidelines for directing calls-
Ask caller what the call is in regards to
· Administrative calls should be directed to Kristina
· Customer inquires-Customer Service or Kristina
· Drivers with Loads calling in- Customer Service/Tracking
· Calls for Ken-Be sure to ask what the call is in regards to before giving Ken’s cell number. Customer Service can help out on many of those calls or pass to Kristina
· Calls for drivers wanting a load will need to be routed through customer service and put on a waiting list. The information will then be sent to dispatch for review.
· Growers calling with Tally sheet totals-Dispatch
· Grower can’t load a truck, has issues with truck, etc-Dispatch
· Calls regarding shuttles or inventory-Carey
· Calls regarding specific accounts-Designated Customer Service rep assigned to that account
Assist Walk in Customers or Drivers
Process Mail
Other duties as assigned by Dave or Kristina
